Privacy Policy
What we collect when you fill in one of our forms or a lead form on one of our ads, what we do with it, who else sees it, and how to get it removed. Plain English, no defensive padding.
Who we are
eXtra Agency is a Brisbane based media and marketing partnership. In this policy, "we" and "us" mean eXtra Agency. You can reach us at mitch@extraagency.com.au or on 0403 182 107.
We are a small business, so parts of the Privacy Act 1988 (Cth) do not automatically apply to us. We have chosen to handle personal information in line with the Australian Privacy Principles anyway.
What we collect
When you fill in a form on this site, the brief, the audit, or the AI Honest deck form, we collect what you type into it: your name and email address, and where the form asks for them, your company name, website and phone number.
When you submit a lead form inside one of our ads on Facebook or Instagram, Meta passes us the name and email address on your Meta profile along with your answers to that form's questions. Meta shows you exactly what will be shared before you submit.
If you email or call us, we keep that correspondence.
We also collect technical information as you browse: your IP address, browser and device, the pages you visit and where you arrived from. Analytics and advertising tools from Google and Meta do this, and they set cookies in your browser.
How we use it
To send you the thing you asked for, such as the AI Honest deck. To reply to you, and if it goes that way, to quote and deliver work. To send occasional marketing emails, but only if you have agreed to receive them, and every one carries an unsubscribe link we act on. And to measure which ads and pages actually work, so we spend our own budget sensibly.
We do not sell your personal information, and we do not share it with anyone for their own marketing.
Who we share it with
A small number of services run the business, and your information passes through them: HubSpot, our customer relationship system, where enquiries are stored. Google, for email, documents, analytics and advertising. Meta, for advertising and lead forms. And Webflow, which hosts this site and stores form submissions.
These providers store data on servers outside Australia, including in the United States and Europe. By sending us your details you consent to that transfer. We will also disclose information where the law requires it.
How long we keep it
We keep enquiry records while there is a reasonable prospect of working together, and for seven years after any engagement ends to meet our tax and record keeping obligations. If you ask us to delete your details sooner and we are not required to keep them, we will.
Your choices
You can ask us at any time to tell you what we hold about you, correct anything wrong, delete your details, or stop emailing you. Email mitch@extraagency.com.au and we will action it within a reasonable time, usually inside 30 days. We may need to confirm who you are first.
Cookies and advertising
This site uses cookies for analytics and advertising. You can clear or block them in your browser settings, though parts of the site may then behave oddly. You can control the ads you see from us through your Meta ad preferences on Facebook and Instagram, and through Google's My Ad Center on Google and YouTube.
Security
We keep your information in access controlled accounts with reputable providers, and limit who can see it to the people who need to. No system is completely secure and we cannot promise otherwise, but if something goes wrong that is likely to cause you serious harm, we will tell you promptly.
Complaints
If you think we have mishandled your information, email mitch@extraagency.com.au and we will look into it and come back to you. If our answer does not satisfy you, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We will update this page if our practices change, and the date below says when it last changed.
